Meeting Room AV Equipment to Check Before Booking

Don’t book a meeting room without checking the AV equipment first!

Display Screen Size and Type

Does the meeting room have a flat screen display (ask for the screen size) or a projector? What is the display resolution (e.g. HD 720p, Full HD 1080p or even 4K)? A modern flat screen display with a high display resolution such as 4K will provide great images and enable clear presentation of slides and video content.

Sound and Microphone Options

Identify if the room has a built-in speaker system and if it has any microphones (handheld or lapel) available. It is easy to ruin a great presentation with bad audio, especially if presenting to a large audience.

Video Conferencing Compatibility

Is the meeting room equipped to support video conferencing and what platforms does it support natively? Many venues that offer Meeting Rooms Chester expect guests to be familiar with the use of Teams or Zoom but some venues use proprietary systems that require a work around. Connectivity Ports

Is there an HDMI connection and/or USB-C connection available? It’s always best to check in advance for availability of connection types. While it’s good to check for these connections, a wireless presentation solution such as Clickshare would be preferable.

On-Site Technical Support

Will there be someone available to help on the day? Even a brief appearance from a venue’s technician will help reassure you that your AV will work as expected. Note that whilst many council owned venues allow booking of meeting rooms with basic facilities (e.g. Chairs & Tables) and no technical support for the AV, for client presentations it is sensible to check.

A quick call to the venue can save you so much hassle on the day of your meeting.
